3. Timeline Discussion |
Time line for financial aid For freshman coming in Financial aid needs to know for scholarships (notify laneyc@ecu.edu and they will tell financial aid and cashiers office) by June 1 so the financial aid can be packaged. Oct 1 for spring awards; for awards for fall and spring due to financial aid by June 1- usually committee has desciion by May. If for foundation funds that information goes to Amanda King. |

4. System for Verification of Awards |
Each fall the Vice Chair from the Scholarship committee needs to check with financial aid to see if the recipients are attending ECU. If any awards have not been given (because recipient is not attending ECU), the Vice Chair needs to notify scholarship committee of the available funds. The scholarship committee needs to notify financial aid of the alternates for the scholarship. |

5. System for Acceptance of Awards |
When recipients are notified of award, the recipient needs to be asked to verify that they intend to attend ECU and accept the award. The chair of the scholarship needs to be notified of the recipients’ intentions. Alternates need to be notified as appropriate. |
Jubran will contact July Poorman in Financial aid office to develop a system to follow-up with the recipients’ acceptance or rejection. |

3.Lillian Jenkins Scholarship |
There is currently $25,000 (expendable funds) available. The Lillian Jenkins Scholarship was established in May of 1978. In 2008 $375 per student was awarded for 5 students in the spring semester. In 2007 one student was awarded $1,125 per semester. No awards were paid last year. This is possibly due to an incoming freshman recipient not attending ECU in the Fall. |

There are significant funds available. This scholarship was established in 1967. There were 4 students awarded this scholarship in spring 08. This is currently awarded through the University Financial Aid. This was not awarded through the scholarship committee last year. |
Johnson will verify that Financial Aid will be awarding this again and that the scholarship committee does not need to follow up with this award. |

7.Chevrolet Scholarship |
There is currently $ 7,500(expendable funds) available.
There were questions on the criteria for this award. The committee will be following the current criteria in committee records. There were questions on whether this award should go through Financial aid instead of this committee. But it has gone through this committee in the past. |

8. Increasing awards |
Last time increases were made in the award amounts was in 1998. Increases will be recommended based on percent tuition increases since 1998. |
Cathy Laney will investigate the percent increases in tuition. Based on the information the committee will recommend increases. Jubran will then send the recommendations to Lori Lee and Julie Poorman for increases in awards. |

9. Retired Faculty Association Scholarships |
The status of the Retired Faculty Association Scholarship Award is currently unknown. It is awarded in eight sequential semesters. We will find out when the current recipient will rotate off and a new award can be granted. |
Sherrilyn Johnson will be contacting Vicky Morris to find out the status of this award cycle. |

10. Appeals Charge |
Decision on whether committee
should take on the Financial Aid appeals process was discussed. Concerns were
voiced that if this appeal process became the charge of this committee, then
the committee would be in the situation of writing the rules and then also
enforcing them. There was thought that this may appear to be a conflict of
interest. Because there has never been a conflict with the same student going
through academic appeals and Financial Aid awards appeals at the same time,
it has been recommend that we report to Julie Poorman that the current charge
is appropriate. |
Motion was made to report to Julie
Poorman that this committee does not need to move forward to change the
current charge. Second made. Motion Passed. Jubran will communicate this to Julie
Poorman. |
