Temporary Employment

Thank you for considering employment with Pirate Temporary Services (Pirate Temps). We are an in-house temporary service for the university. The role of a temporary employee is critical to the day-to-day operations of the university. Temporary personnel can fill in for unexpected or scheduled staff shortages, provide essential support during a work surge, or complete special projects. Temporary employees placed through our office gain valuable hands-on university experience in a variety of departments. Although permanent hiring decisions are not made through Pirate Temps, many ECU temporary employees have successfully obtained permanent employment with the University.

A temporary employee is an employee on a temporary appointment, for a limited term, which shall not exceed eleven (11) consecutive months.

You are filling for unexpected or scheduled staff shortages, provide essential support during work surge, or completing a special project. Your role as a temporary employee is critical to the day to day operations of the University. Your skills and experience will help you perform your new position efficiently and effectively as possible.

31 Day Break in Service

Temporary employees may work in an assignment for a period of eleven consecutive months or less, from the date of their first day worked. When temporary employees reach eleven (11) consecutive months of service, the employee is required to take a thirty-one (31) day break. It is crucial that both the department and the temporary employee be in touch with ECU Pirate Temps prior to returning to the University on a temporary assignment as employee forms need to be updated.

All temporary employees must take a 31 day break in service after 11 months of continuous employment. There are no exceptions.

Payroll

All University staff employees, temporary and permanent, are paid on the 15th and last day of each month. The University has 24 pay periods every fiscal year with a two-week processing period for paychecks. Therefore, when you receive a paycheck, it will be for hours worked in the previous pay period, not for hours worked in the current pay period. A schedule of the pay periods and their paydays is available at http://www.ecu.edu/financial_serv/payroll/ . All checks will be direct deposited into your account.

Timesheets

Timesheets are entered through PiratePort. Go to www.pirateport.ecu.edu , enter your pirateid and passphrase. Next, click on banner self-service, and then click on timesheets. Typical time sheets should be completed in two-week increments. The timesheet should be turned in no later than one day after the regular scheduled pay day. For example, if ECU is paid on January 15th, the timesheet should be turned in to the appropriate supervisor on January 16th. Some departments may use Kronos to record all employees time keeping. Please check with your department about how time keeping is recorded. For Kronos time keeping, go to www.kronos.ecu.edu , enter your pirateid and passphrase, next click the icon labeled "record time stamp", to record your time.

Parking

All temporary employees are given a temporary parking pass on or before the start date of their assignment. The temporary parking pass is valid for two weeks. After the two weeks has expired, please go to Parking and Transportation, to purchase a parking pass. Currently the parking fee is $5 a day or $20 a month for temporary employees.

ECU 1 Card

Once the temporary employee has been entered into the system and has received their PirateID and Passphrase, s/he may obtain an ECU 1 Card from the 1 Card Office. Temporary employee must present the "Information for Temporary Employee Form" to the 1 Card Office, in order to receive his/her ECU 1 Card. When the assignment is complete, the employee must surrender their ECU 1 Card to the 1 Card Office.

Holiday Schedule/Campus Closings

The work schedule follows the holiday/closing schedule for the University. Temporary employees are not paid for University holidays or closings.

During adverse weather conditions, temporary employees are advised to contact the site supervisor to determine whether the University will be open or closed and, if open, to discuss whether reporting to work is required and/or possible based on weather conditions. Temporary employees are not paid for hours not worked during periods of adverse weather.

End of Assignment

Two weeks prior to the end of your assignment, please contact the Coordinator of Temporary Services, Tamika Nixon, at nixont14@ecu.edu or 328-9823, to set up an exit interview, and to discuss future temporary opportunities.

Notice to Retirees: At the end of temporary assignment, please provide a statement; confirming that you are not seeking permanent employment; and interested only in temporary employment.

Temporary Employment Process; There are two different processes for Temporary Services.

Process 1: A Temporary Employee Has Been Identified

  1. The hiring department will submit a criticality form to the division office for approval (only required for Academic Affairs and Student Life)
  2. The hiring department will ensure that the candidate of choice has completed a ECU Staff application at www.jobs.ecu.edu
  3. The hiring department will submit the "Request for Temporary Employment" form via email to: employment@ecu.edu
  4. The Request form will be submitted to Classification and Compensation for classification.
  5. Once Classification and Compensation completes and returns the "Request for Temporary Employment" form to the appropriate Employment Counselor; the hiring department will be notified.
  6. The hiring department will complete the "New Hire SHRA/CSS Temporary, HN0038 EPAF and route for signatures.
  7. The appropriate Employment Counselor will contact the applicant and make the offer for employment.

Process 2: No Candidate Identified

  1. The hiring department will submit a criticality form to the division office for approval (only required for Academic Affairs and Student Life)
  2. The hiring department will submit the duties of the position on the "Request for Temporary Employment" form via email to: employment@ecu.edu
  3. The Request form will be submitted to Classification and Compensation for classification.
  4. Once Classification and Compensation completes and returns the "Request for Temporary Employment" form to the appropriate Employment Counselor; the hiring department will be notified. They will receive an email with a list of applications attached for their review.
  5. The hiring department will complete the "New Hire SHRA/CSS Temporary, HN0038 "EPAF and route for signatures
  1. The appropriate Employment Counselor will contact the applicant and make the offer for Employment.

Please note that retirees can return after the 31 day break in service, after submitting a letter stating that the employee is not interested in nor seeking permanent employment. Please ensure that you ask the retiree to complete this information prior to taking their break in service.

Please note that there is additional approval needed to rehire a returning temporary employee who has worked for eleven consecutive months. Approval will be granted on a 3 to 6 month basis after review.

EXTERNAL TEMPORARY STAFFING VENDORS

Please note that an employee hired from an external temporary staffing vendor is also required to take a 31 day break in service after 11 consecutive months.
