Returned Checks
A file will be maintained of all returned checks containing the following information:
a student name
maker of check if different from student
social security number
amount
date of check
bank
date of a redeposit.
This information is necessary to provide information to students should they inquire as to the status of their check(s).
Upon receipt of the returned check the student's records will be tagged, and a first class letter will be sent to the student requiring payment including a $20 returned check fees within ten (10) calendar days.
If after ten (10) calendar day's payment for the check plus $15 service charge has not been received, a certified mail receipts return requested letters will be sent to the student requiring payment including a $15 service charge with ten (10) calendar days.
Should there be no response or an unsatisfactory response to the registered return receipt letter, provided acknowledgment of receipt from the US Postal Service, the student will be stopped from attending class, based on the 1979 approved Notification and Stopping Students from Class Policy, via a letter to the Dean of Students and copied to the students.
Should the requested returned receipt letter, not be redeemed within seven (7) calendar days the student will be stopped from attending class.
If there is no response or unsatisfactory response to the above referenced actions within a maximum of 90 days, further action will be taken as follows:
referral to the State Attorney General's Office
referral to a collection agency
court summonses for worthless check
referral to the N.C. Department of Revenue for collection under the Set Off Debt Collection Act (accounts $50 and over only).
No transcript will be furnished to a student until all financial obligations to the Student Stores have been paid. Moreover, any student who, having preregistered for succeeding semesters or terms, has a returned check from a prior semester or term, may not register or pay fees for the succeeding semester or term until all previous debts have been met.
Collection of Accounts Receivable
The current statements are mailed.
The thirty-day-old statements are mailed on past due balance plus interest charged at an annual rate of 9%. A student account (30) days past due is also tagged.
The sixty-day-old statements are mailed with additional interest accrued. Telephone contact is also made as to when payment can be expected.
Once an account is 180 days old and there has been no response or unsatisfactory response, the account is submitted to a collection agency. The account is placed on hold and no further charging will be allowed.
If there are no results from the collection agency after a reasonable amount of time, past due accounts for an individual in the amount of $50 or more are referred to the NC Dept. Of Revenue under the Debt Set-Off Collection Act. Past due vendor accounts are submitted to the state under the Vendor Set-Off Program.
When an account is more than one year old and is deemed uncollectible, meaning that all means of collection have ben exhausted, the account is written off using the direct write-off method.
