Performance Evaluation System (PES)

 

Guide to Interim Reviews

 

1. At the PES Main Menu, choose ‘Edit an Existing Work Plan’

 

2.  Choose ‘Edit a Work Plan’

 

3.  Select an employees work plan

 

4.  Press okay to open the work plan and review each page to plan discussions with the employee.

 

5.  Return to Main Menu.

 

6.  Choose ‘Evaluate an Employee’

 

7. Click on ‘Interim Review’

 

8.  Select the employee to evaluate

 

9.  Click OK and enter a summary of comments and discussions of the review.

 

10.  Return to the PES Main Menu

 

Once the work plan is completed and is ready to be viewed by the employee:

 

11.  Choose ‘Edit an Existing Work Plan’

 

12.  Click on ‘Edit a Work Plan’ and select the appropriate work plan

 

13.  Scroll to the bottom of the page and check box to Release Work Plan, and click Enter.  Once you click Enter, the work plan and comments will be sent to the employee to view – you will not be able to edit the comments once the work plan is released to the employee.

 

14.  Notify the employee that his/her work plan is available for viewing and schedule a time for the two of you to discuss the interim review one-on-one.  Some supervisors choose to have a one-on-one meeting with their employees prior to releasing the work plan to them.

 

15.  The employee should enter their comments at this time, but may want to view their work plan first.  Employees will follow steps 1-5 above but from the Main Menu, will select “View and Existing Work Plan”.  When the employee is ready to enter their comments, from the Main Menu they will select “Evaluate an Employee”, Interim Review and then select “Post Comments” and then they will receive a blank screen to input their comments. 

 

YOU CAN ALWAYS GET BACK TO THE MAIN MENU BY CLICKING ON THE YELLOW LETTERS IN THE UPPER LEFT HAND CORNER OF THE PERFORMANCE EVALUATION SYSTEM.

 

 

Viewing Your Evaluation

 

At the PES Main Menu, choose ‘View an Existing Work Plan.’  You will be able to view each page of Key Responsibilities (KRR) and Dimensions by pressing next page at the bottom of the screen.

 

Certifying your Evaluation

 

After meeting one-on-one with your supervisor and discussing your interim review, return to the PES Main Menu, and choose ‘Evaluate an Employee,’  then select ‘Post Comments.’   Here you will be able to view the overall comments from your supervisor.

 

You will be given an opportunity to make comments of your review.  If you decide not to make any comments, type your initials and click ‘Certify’ - Clicking ‘Certify’ submits your interim comments to PES.  Human Resources ask that even if you do not want to comment, that you type in “I have read my interim review.”  Certifying and/or typing in “I have read my interim review” do not mean that you agree with the review – it only means that you have viewed it.

 

Printing the Work Plan

 

The ‘Print an Existing Work Plan’ option only works during the final review cycle.  However, you can do print screen from each page.

 

Copies of the Interim Review

 

It is not necessary to send a copy of interim reviews to Human Resources  However, you may want to keep a paper copy for your departmental files.
