How do I backup my email?

There are several ways to do this.

Option 1: If you want many items archived, do the following:
1. With Entourage open, go to File > Export.
2. Select what you want exported.
3. Decide to delete items that have been archived or to make a copy.

Option 2: The easiest way to backup a single folder is to drag the mail box to the desktop. It will automatically create an .mbox file which you can move anywhere for safe keeping.

Option 3: Make a copy of the entire Microsoft User Data folder located in your Documents folder. Do NOT move this folder out of its location or Entourage will act as if it is starting a new account. Copy the ENTIRE folder, not just the pieces of your main identity.


Can I have multiple accounts in Entourage?

We don't recommend setting up multiple accounts within the same identity. Entourage will merge data from the accounts (especially if they are exchange accounts) and it is very difficult to separate them after the damage is done. Instead, it's recommended that you use two different identities within Entourage and then use the "Switch Identity" command in the "Entourage" menu to work between the accounts. Future updates of Entourage may make this a smoother transition but not at the moment.
My accounts merged in Entourage. What do I do now?

ITCS is unable to assist with recovering of the data. The only way to unmerge accounts is to:
1. Remove the second account from the single Entourage identity.
2. Manually delete the calendar events and contacts from the deleted account.

How do I access the ECU Global Address list?

While in Entourage, click on the Address book icon in your tool bar. You should see a small icon in the left nav window that looks like an address book with a green vertical line next to it. That is the global address book. More instructions on how to work that address book can be found here on Microsoft's website
Can I set up out-of-office replies in Entourage 2004?

There is no support for out-of-office replies in Entourage at this time but Microsoft is looking into it for the next release. However, you can access this option through PirateMail.

  1. Go to PirateMail.
  2. Click on Options in the left window pane.
  3. Change Out of Office Assistant to the option you need.
  4. Click on the "Save and Close" button near the top.

At some point, I incorrectly typed an address and sent the message. It bounced back and I was able to retype the correct address, however, the incorrect one is still showing up in the autofill list. How do I get rid of it?

Go to Entourage > Preferences > Compose menu and click on the Clear List button. This will reset the autofill back to empty.
Can I share my calendar?

Yes. You must first update to Service Pack 2 by opening Entourage, going to the Help menu and selecting "Check for Updates". Instructions on how to share can be found here.
Can I see when someone is busy so I can schedule an event?

Sure can. Start an invitation and follow these instructions from Microsoft.
I can't see my calendar or contacts at home while using Entourage.

Use PirateMail to access your calendar or contacts.
How do I know which email server I'm on?

Log into OneStop. Click on the Profile tab at the top. In General Information, you will see your correct email address and the server on which it resides.
Why can't I access the Public Folders?

You must update your Entourage to Service Pack 2. This version of Entourage now has full support for public folders. For details on how to use Public folders, follow these instructions from Microsoft.
What is synchronized between my Entourage and the ECU Exchange server?

E-mail messages, contacts and calendar items are synchronized. Messages in the inbox are continually synchronized with the Exchange server automatically. The messages are displayed as they arrive or after Entourage completes a new check for new messages on the server once every minute.
What is not synchronized?

Entourage notes and tasks are not synchronized with the server.
What are some ways I can speed up Entourage?

1. Turn off "Office Notifications" under the Entourage menu.
2. Stop the bouncing Entourage icon in the Dock. Go to Entourage > Preferences > General Preferences > Notification and uncheck the "animate" icon in "When Mail arrives".
3. If you don't use your calendar or contacts, you can turn off synchronization of these items in Tools > Accounts > Advance tab.

I have so many folders in my folder list that it's hard to see them all. What can I do?

To give you more space in Entourage go to Entourage > Preferences > General Preferences > General and check "Display small navigation buttons."
