OVERVIEW
This fall, Information Technology and Computing Services is implementing “E-mail Vaulting” for the ECU campus.
E-mail vaulting provides an efficient way of archiving your Microsoft Outlook/Entourage e-mails and their attachments.
Information Technology and Computing Services (ITCS) is archiving your e-mail in this method to (1) follow e-Discovery Rules aimed at managing electronically-stored information; and (2) provide more space in your Inbox and allow for easier retrieval of information later if necessary.
FEATURES
- a "7yr Retention" folder that will allow you to archive important business correspondence for longer periods of time
- 3 new toolbar icons within your e-mail application (Outlook and ECU’s Web-based Piratemail) that allow you to search for items stored in the e-mail vault and manually archive e-mails yourself
- access to the Web-based e-mail vaulting application that provides an additional way to search for items stored in the e-mail vault and allows you to restore e-mail to your Inbox
- an offline vault feature that will download vaulted messages to your computer and store them on your hard drive. This will speed up the retrieval process and allow offline connectivity to your vaulted email. This feature is only available when Outlook is set up in "cached" mode.
ARCHIVING GUIDELINES
- All e-mail located on university e-mail servers older than 90 days will be archived each night at 12midnight.
- The items in the folder named “7yr Retention”, created in your Inbox, will be accessible for 7 years.
- All other e-mail that is archived will be accessible for 3 years.
