Entourage - Sharing Calendars


 
Service Pack 2
  • In order to do the following, you must have at least Service Pack 2 or higher.
  • Open Entourage and go to Help > Check for Updates
  • Run all updates.

Step 1
  • Open Entourage.
  • With your Folder List open (View > Folder List) right click or control-click on your online calendar.
  • Select "Sharing".
  • Note: You can share calendars with anyone that has an Exchange account. However, if they are using Entourage, you can also share your address book or mail folders. Just control-click or right click on the item and set the permissions like we are doing in the following steps. Each folder has it's own permissions so you'll have to set permissions even for subfolders.

Step 2
  • Note: This is the preferred method of adding someone to share your calendar.
  • Click on the "Add User..." button.
  • Click on the Advanced tab at the bottom of the window.
  • Set the domain to "intra".
  • Set the account id to the PirateID of the person you want to share your calendar with.
  • Set type to "user".
  • Click "OK".

Step 3
  • Select a new permissions level from the “Permissions” pop-up menu. When you choose a new level, the actual privileges granted are updated the bottom of the “Folder Properties” window, so you can view exactly what that person can and cannot do.
  • Note: You should assign the lowest level of privilege that each person needs, and remove those permissions when they are no longer needed. 
  • Repeat adding users and changing their permissions, as needed.
  • Click “OK” to close the “Folder Properties” window when you are done. Your changes are saved to your Exchange account so that others using Microsoft Entourage or Outlook can taken advantage of them.
Entourage Permission Levels
Permissions defined:
  • OWNER – has the same rights to do everything the host can.
  • PUBLISHING EDITOR – Same rights as owner.
  • EDITOR – Same as publishing editor except the editor cannot create subfolders
  • PUBLISHING AUTHOR – Publishing author can view all items, create new items but can only edit or delete items the publishing author created.
  • AUTHOR – Same as publishing author except the author can not create subfolders
  • NONEDITING AUTHOR – Has the same rights as the author but can only delete items that the nonediting author creates. It cannot edit items, even those it creates.
  • REVIEWER – Can only read the shared item.
  • CONTRIBUTOR – Can only create new items and cannot view calendar items at all.
Turning off permissions:
1. CNTRL-click or right click on the folder that you want to stop sharing.
2. Select Folder Properties.
3. In the Permissions tab, do one of the following:

•  To stop sharing, click the name of the user with whom you want to stop sharing the Address Book, Calendar, or Mail folder, and then click Remove.
•  To temporarily suspend access, on the Permission Level pop-up menu, click None.

Note: If you change the permission level to None, the user remains on the list, which allows you to quickly reinstate permissions later.
