Entourage - Troubleshooting Tips


 
You open Entourage and there's nothing there. None of your email, none of your contacts, nothing but a few mailboxes under "Folders On My computer":
A couple of things may have happened. Entourage saves its files in a folder in your Documents folder (Macintosh HD/Users/<yourhomefolder/Documents/Microsoft User Data folder). If you move or delete that folder out of that Documents folder, Entourage will start itself as if for the first time. As long as we can find the Data folder, it should be possible to retrieve your email.

First, did you do some "housekeeping" and throw away a lot of files from your Documents folder? If yes, stop. Don't throw anything away. Open your trash can and look for a folder called "Microsoft User Data" folder. Drag that back to your Documents folder. If you get a message asking if you want to replace a newer item, stop and rename that folder to something like "MS Old Folder" and then drag the correct one in. Restart your machine and open Entourage to see if everything is back. If it is not, put in a ticket at the Help Desk and ask for ITCS assistance.

Second, open Entourage and go to the top of your screen to Entourage>Switch Identities. A list will pop up of any identities Entourage can see. If there is more than one, select the other ones and see if your email comes back. If there is only one and selecting it still doesn't bring back your mail, put in a ticket to the Help Desk and DON'T delete anything.


You want a standard signature on each email:
Go to Entourage>Account Settings and double-click on the email account. Then go to the Options tab and select which signature you want as a default in the Message Options section.


Your signature is not where you want it in your reply message:
Go to Entourage>Preferences and select Reply & Forward. The Mail Attribution section sets the location of your signature. ITCS recommends selecting the last option (starting with "Place reply at top of message..." as it puts your email and signature at the top of the email and everything else at the bottom.


When you reply or forward an email, only part of the original message is in the return message.
Entourage has a feature that allows you to highlight a portion of the original message and then when you forward or reply, it only brings that part that's highlighted into the new message. To keep this from happening, don't highlight anything in the original message and it will all appear in the new message.



How to back up your email:
There are several ways to do this.

Option 1: If you want many items archived, the following will work. It does not work on contacts or the calendars on the Exchange server.
1. With Entourage open, go to File > Export.
2. Select what you want exported.
3. Decide to delete items that have been archived or to make a copy.
4. Name and save file.

Option 2: The easiest way to backup a single folder is to drag the mail box to the desktop. It will automatically create an .mbox file which you can move anywhere for safe keeping. Instructions in detail from Microsoft.

Option 3: Make a copy of the entire Microsoft User Data folder located in your Documents folder. Do NOT move this folder out of its location or Entourage will act as if it is starting a new account. Copy the ENTIRE folder, not just the pieces of your main identity.


You've made a huge distribution list but not everyone gets your email:
• Check the addresses and make sure they are correct.
• There is a size limit on the distribution file, not a number limit. This means that if two different distribution lists have the same number of addresses, they are different sizes because the amount of information stored with each client is different. Microsoft recommends keeping your lists around 50-70 addresses for best results. http://support.microsoft.com/default.aspx?scid=kb;en-us;238569&Product=out





Entourage is typing slow and the beach ball appears every now and then:
This is often caused by either Spotlight or by Norton AntiVirus. You can adjust what they scan in the following preferences. However, you do NOT want to turn them off.
1. Go to the Blue Apple > System Preferences > Spotlight. Add your "Office 2004 Identities" folder to the Privacy list. The folder is located in your Documents folder and should never be moved.
2.
Go to the Blue Apple > System Preferences > Norton Auto-Protect. In the SafeZones tab, add
"Office 2004 Identities" folder from your Documents folder.


You need to know if someone has read or received your email:
Entourage doesn't do receipts at this time. There is a work-around:
Log into your PirateMail and create the message. At the top of the tool bar is a field for the receipt options. Select what you need and send the email. You must use PirateMail to see if those receipts are returned. They will not be delivered in Entourage.


You can't access the ECU Global Address book:
While in Entourage, click on the Address book icon in your tool bar. You should see a small icon in the left nav window that looks like an address book with a green vertical line next to it. That is the global address book. More instructions on how to work that address book can be found here on Microsoft's website.


Categories:
At this time, categories used within Entourage are not synchronized with the server. They also do not synchronize with most PDAs.


Notes and Tasks:
At this time, Notes and Tasks listed within Entourage are not synchronized with the server. Depending on your software, they are sometimes synchronized with a PDA.


You need to set up Out-of-Office Replies:
There is no support for out-of-office replies in Entourage 2004. You can set them up in PirateMail: http://www.ecu.edu/cs-itcs/mac/upload/EntourageOutOfOfficeReplies.pdf or upgrade to Office 2008. You can put in a work order at the Help Desk to get this done.


Incorrect addresses showing up in the autofill list:
Go to Entourage > Preferences > Compose menu and click on the Clear List button. This will reset the autofill back to empty.


You've created a group in Entourage and do not see it in PirateMail:
Groups are not synchronized with the server. You will have to use the machine you created the groups on or re-use a previously sent message to that group.


There are too many folders listed in your Account and you have to keep scrolling down, down and down to get to them:
 • To give you more space in Entourage go to Entourage > Preferences > General Preferences > General and check "Display small navigation buttons."


Apple Mail:
• Entourage doesn't support importing data directly from Apple Mail.
• At this time, ECU is not recommending Apple Mail for use with the Exchange servers.


You would like to set up multiple email accounts:
• We don't recommend setting up multiple accounts within the same Entourage identity. Entourage will merge data from the accounts (especially if they are exchange accounts) and it is very difficult to separate them after the damage is done. Instead, it's recommended that you use two different identities within Entourage and then use the "Switch Identity" command in the "Entourage" menu to work between the accounts. Future updates of Entourage may make this a smoother transition but not at the moment.

• If your data merges, ITCS is unable to assist with recovering of the data. The only way to unmerge accounts is to :
1. Remove the second account from the single Entourage identity.
2. Manually delete the calendar events and contacts from the deleted account.



You need to share your calendar with someone on campus:

What is synchronized with the server so that you can see it in PirateMail or in Entourage at home:
• Email messages, contacts and calendar items are synchronized. Messages in the InBox are continually synchronized with the Exchange server automatically. The messages are displayed as they arrive or after Entourage completes a new check for new messages on the server once every minute.

• Entourage notes, tasks, categories and groups are not synchronized with the server.



You can't see all of your folders under your InBox:
• To give you more space in Entourage go to Entourage > Preferences > General Preferences > General and check "Display small navigation buttons."
