UNC RM Meeting Minutes - October 26, 2005
Lillian Brewington, Mark Brittain, Betty Carter, Frank Holt, Hal Keiner, Todd Kosmerick, Suellyn Lathrop, Ron Leach, Beverly Mitchell, Madeleine Perez, Gloria Pitts, Patrice Slattery, Ed Southern, Kim Stahl, Barbara Tookey, Eloise Vowter and Jan Whitfield present.
The meeting was convened at 11:00.
Madeleine Perez opened the meeting by welcoming everyone to Greensboro. She thanked Barbara Tookey for taking care of local arrangements and made general announcements. She also announced that Suellyn Lathrop had received the Thornton W. Mitchell award at the fall SNCA meeting.
Suellyn Lathrop explained the process by which the group would review the draft general schedule. In reviewing the comments received she made four categories:
Grammar / formatting issues in title, description and items section – these became the blue comments, 58 series
Disposition issues – change number of years, unclear disposition instructions, distinction needed between originals and reference copies – these became the purple comments, 60 series
Series that had comments in all categories – became the red comments, 58 series
General questions that would need discussion – combining series, deleting series, splitting series – became the green comments, 45 series.
She also reported that she received comments regarding the microfilming and specific shredding instructions on a few items. Her recommendation is that microfilming and methods of destruction be handled in the prefatory material to the schedule as each campus will need to make those decisions based on resources available to them.
The group was asked to allow Ed and Ron to take the blue and purple comments and make decisions if we did not get to those issues in this meeting. It was decided to start with the green comments as those were discussion points so that everyone would have input.
In going through the green and red comments the following decisions were made:
Creation of a new “Safety Section”
Make a separate list for the University Attorneys group to review and comment upon. Take those series out of the draft completely until a decision was reached. The series identified were GU66, GU128, the foundation section, GU202, G6 and budget issues.
Creation of a website series.
The group completed the review of the green section and part of the red section.
At the end of the meeting Ed Southern was asked to speak about next steps in completing the general schedule. Ed said that we would need to complete the process of review in order to get a polished copy to give to Betsy Bunting and the University Attorneys. He and Ron do not have time or resources to research our questions regarding the applicability of NCAA, HIPAA and other standards. We will have to do that ourselves. In order to complete the review of the red section and possibly the blue and purple sections it was decided to meet again either November 21 or 22 in Greensboro. Suellyn will make the corrections in the schedule that were made today.
It was generally agreed that this had been a worthwhile experience, but the group is glad it’s nearly over!
