The meeting was convened at 9:00.
The group began with a discussion of the final draft of the general schedule. It was pointed out that there were printing problems with the first section. The group decided to concentrate on content first and form later, especially since form would be dependent upon software used by State Archives.
It was decided to merge the compliance codes into the description field when needed as “comply with: statute.” The group was not sure why those have appeared in schedules over the years and whether they are necessary in this one. The reformatting should give us a cleaner look.
It was decided to change Original Record and Reference Copy to Original and Reference. It was further decided to delete the heading Original when that was the only record mentioned in the Disposition column.
Frank Holt told the group about his conversation with Ron Leach and the State Comptroller regarding the financial section of the schedule and the state agency schedule. Apparently, the state agency general schedule does apply to original/official copies of records and not just to reference copies. The financial section will be checked against the state agency general schedule for consistency.
The group got to work going over the sections.
The group reviewed the Information Technology general schedule using comments supplied by UNCG IT personnel. That helped clarify some things for us.
We still need to get feedback from Ed and Ron on the things marked in red.
Suellyn Lathrop will complete the revisions and send the final draft to Ron Leach and Ed Southern soon.
It was generally agreed that this had been a worthwhile experience, but the group is glad it’s nearly over!
