The objective of the Office of Student Affairs Marketing and Communication is to collaborate with you to help you raise awareness and interest in your programs and services, as well as increase attendance and participation. This information sheet is intended to provide a clear understanding about what we can provide, including, our services, distribution options, the request form and consultation process, as well as important vendor information and timelines.

Knowing the answers to these questions will allow us to effectively and efficiently communicate your needs to help you reach your goals. Don't have all the answers, our marketing and communication team is equipped and ready to assist you with the development of your answers which will also strengthen your marketing plan.
Our services are free of charge, however, our range of services varies depending on where your office or department falls within the University structure. Full design services are available to those offices and departments within Student Affairs, but are limited in the areas that fall outside of Student Affairs due to how we are funded. Graphic Design:Our professional and experienced designers follow the image/graphic standards and guidelines of East Carolina University and comply with the official ECU Logo Review process. Website Development:The goal of the Web Design Team is to develop a well organized website for units within the Division of Academic and Student Affairs. Our goal is to develop an interface to increase engagement in programs and services as well as to communicate the policies, programs and services offered to students. We follow the University image/graphic standards and web guidelines, as well as strive to make all pages within our sites Section 508 and Americans with Disabilities Act (ADA) compliant. NOTE: The SA Marketing web development team is not responsible for the content management of departmental websites. Each unit is considered to be its own content expert; therefore, the content posted, management and updates within your website should be done by each department’s Common Spot Administrator (CSA). The unit/department supervisor should identify this primary CSA person. If the CSA is in need of assistance, additional training or experiences troubles with the website, the SA Marketing web development team is more than willing to assist. Video and Photography:We are committed to providing quality high-definition video and photography whether it's planning for a website initiative and social media sites, implementation within designs and marketing campaigns, or covering your events and programs. We will also format and size your video or photographs to meet the various requirements for distribution and posting. Video projects are the most time consuming and require the ample lead in time for scheduling and planning. Pre-production to post-production can take anywhere from three weeks to a year, depending on the length of the final piece and the amount of shots, talent, scheduling, and edits needed. Marketing Plans and Framework:We are available to collaborate with you regarding your unit’s overall marketing and strategic direction. I think we need a bit more opening description here. Something to say it is an interactive process where the mission, vision and values of a department are merged with gathered data to produce individual action plans to accomplish future marketing goals and objectives. These services include:
Press Releases:A press release can increase exposure for your event or program by inviting and/or informing the media. These releases are drafted by SA Marketing and approved by the client. Then the draft release is forwarded to the ECU News Bureau for distribution. University regulations require that the ECU News Bureau must distribute all press releases, unless otherwise approved. SA Marketing staff can provide further information as needed. Once the final press release is distributed, a final version is made available to the requesting unit so that it may be sent out on listservs, as well as posted to websites and social media locations. DISTRIBUTION OF MESSAGE:What is a message without a way to distribute and communicate? We take into account all the avenues available to post, insert, and broadcast your message to your intended audience.Some examples of our distribution outlets include:
QUOTES AND VENDOR INFORMATIONStudent Affairs Marketing will assist with gathering quotes for your purchases as well as direct you to a list of approved university vendors. However, each unit is responsible for any print costs or additional costs for materials needed to complete your request. Since this cost comes from your departmental or event account, it is also each unit’s responsibility to set up the contract vendor agreements. Once a vendor is chosen and the contract is set up, SA Marketing sends the formatted graphic files needed to complete your order to the vendor of your choice. For giveaways other than paper printing, especially for t-shirts, the University requires the use of State approved vendors. A list of licensed vendors can be viewed online at http://www.ecu.edu/cs-admin/licensing/licensees.cfmREQUEST PROCESS AND CONSULTATIONS:All of our services require the completion of a Communication Request to begin the process. Once the request form is received, the project will be assigned to an SA Marketing staff member and, when necessary, the client will be contacted to discuss the project further. This request form is located at www.ecu.edu/samarketing. As soon as you know you will need marketing services for your unit/department, event or program, please submit a Communication Request. We begin each project by gaining a solid understanding of who your audience is, what’s the call to action, and what is your goal? This helps us create strategic solutions that communicate the right messages and express your unique identity. One primary goal, which benefits both the marketing team as well as the client, is to have your marketing materials ready for distribution at least two weeks prior to your event or program. This will allow for maximum exposure to your audience. TIMELINES:Typical graphic designs, website development and photography projects can take 2-3 weeks to complete; however this time frame depends on the scope of each project, as well as, where each request falls in the queue. If your request falls outside of this timeline, it is discussed more clearly during the request consultation.SPECIAL TIMELINE NOTE: Video project request are the most time consuming and require significant scheduling and planning. LCD’sSubmit a SA Marketing Communication Request Form three weeks in advance. Images can be submitted or the design team will create an image for you. These images are posted for 10 seconds and play in a rotation with other ads across 100+ screens spanning East Carolina University’s Main and West Campuses. Dimensions for the displays are 797px by 496px at 300dpi and can be saved as jpegs.WZMB 91.3 WZMB, ECU’s student radio station, provides PSAs for student organizations and their free functions and/or events. Pertinent information should be sent to firstname.lastname@example.org. The best format to send is flyers (PDFs, or physical copies for DJs to announce live on the air) or specific info via email. Another option is to go to WZMB and record a spot with the production manager.If you are charging admission or for products, the PSA is then considered a grant (or “advertisement”) and WZMB would have to charge for the PSA or else is become a FCC compliance issue.The promotion will begin running as soon as the information is received and/or produced. Productions can be completed, in most cases, within 5 days of receiving theinformation. Please send information two weeks in advance of the event to give ample time to work on daily duties as well as produce high quality sponsorships.The East Carolinian (TEC)Student organizations can submit announcements or events to TEC, ECU’s student newspaper, for inclusion in the Classified section of the paper. TEC’s policy is that they will run ECU-related free announcements for student organizations only twice a semester with 30 word limit.Announcements/Events:For email submissions, you can send the events and announcements to email@example.com. only available on the East campus of ECU. Please include all pertinent
information.Hendrix Theatre Movie AdsAdvertisements for upcoming events or programs can be shown prior to the movies in Hendrix through the Student Activities and Organizations office. Ads should be sent to email@example.com as landscape PowerPoint slides or 7.5 in. by 10 in. jpegs. Pirate 411 - Student AnnounceThis is a non-response listserv where a mass email is sent to all ECU registered students on the 1st and 15th of each month. When the 1st or 15th falls on a non-work day for the university, an email will be sent the following workday. Information you would like included in this email can be submitted to Erin Respess firstname.lastname@example.org no later than noon on the day of email distribution. This information needs to be a brief "headline" to hook the viewer to click on the link where they find the detailed information. Please include the URL to the website where that information can be further expanded and viewed so that we can link it to the headline. Attachments are not included in this distribution email. Please note that there are no exceptions to this deadline and that individual emails will not be sent. Faculty/Staff AnnounceFor some events, it may make sense to send information to ECU faculty and staff. Any faculty or staff member can sign up at http://www.ecu.edu/cs-itcs/Announce/ to be able to send messages. This website also contains guidelines as to the type of messages that can be sent.
