Blount Complex Field Reservations

Any University group may request use of the fields by submitting a written request to the Department of Recreational Services.  A minimum of two weeks notice is required for all requests.  Request forms may be picked up from 128 Student Recreation Center.  Each request will be reviewed to determine the feasibility, appropriateness, and fee for the usage.


Definitions and Priority of User Groups:

1.Programs and services provided by the Department of Recreational Services will have first priority.  These programs include Intramural Sports, Adaptive Recreation, Drop-In Recreation, Club Sports, Fitness, Lifestyle Enhancement, Adventure Programs, and Summer Youth Camps.

2.Academic classes scheduled by the Department of Exercise and Sport Science will have second priority.  It will be the responsibility of EXSS to coordinate with Recreational Services for the use of the fields on a semesterly basis.  EXSS will be responsible for any equipment set up/take down and for any special repairs and/or maintenance needs due to their use of the fields.

3.Student Organizations, registered with the Office of Student Leadership Development, will have third priority.  No charges will be assessed unless the activity requires special set up/take down, or personnel supervision.

4.University Groups/Individuals will have fourth priority.  This includes     groups or individuals who work at the university and whose activity relate to the mission of ECU.  This would include athletic and academic camps and others.  Fees will be assessed.

5.Outside groups not affiliated with the University will have fifth priority.  This would include any group/individuals not affiliated with the University.  Fees will be assessed.
 

Steps for Reserving Fields:

1.One must fill out a Facility Reservation Contract form acquired from the Department of Recreational Services at least two weeks prior to the event.  It is strongly recommended that outside groups begin communication with the department no less than one month prior to the event.

2.The request will be reviewed, and in most cases, a response will made in 48 hours.  It may require several days to work out all of the necessary details.

3.A copy of the request with the decision will be returned.  A deposit may be required.  If approved, the contract must be taken with the group when they use the fields.

4.Planning meetings between the event organizers and the Department of Recreational Services Staff may be required.

5.A manager/supervisor may be assigned to the event based on the nature and scope of activities planned. In the absence of an assigned manager, the person requesting the reservation will be responsible for the security and safety of participants and spectators by adhering to the safety considerations expressed in items 4 and 5 listed below under Blount Sports Complex Policies and Procedures. These items specifically relate to inclement weather including lightening conditions as well as unsuitable field conditions. Campus or city police can be immediately contacted by dialing 911.
