Exchange account - Faculty/Staff Email

An employee's Exchange account includes email, calendar, contacts and tasks. This information is maintained on the server for 24/7 access, on or off campus. Accounts are 1GB, and users log in using their PirateID/passphrase. The Exchange servers are backed up daily. If the 1GB storage limit is reached, a user can no longer send or receive email.

Address book updates

  • Contact Human Resources for a legal name change (must match Social Security card)
  • Contact HR to request "Preferred Name" or "Professional Name" used in the ECU address book
  • Contact HR to request a title, department or mailstop change
  • Call the IT Help Desk to update your PirateID after a name change
  • Update your home or campus address through Banner Self-Service

Outlook cached mode

Mailbox items are periodically downloaded from the Exchange server to your ECU computer to allow working offline. Visit the cached mode page for more information.

Email archive (vaulting)

Email vaulting archives messages and attachments from the your mailbox to an ITCS-maintained online storage area called the "Enterprise Vault." Faculty and staff Inbox and Sent Items and RSS Feeds are automatically archived to:
  • Follow ECU's e-Discovery Rules
  • Provide more space in the inbox
  • Allow for easier retrieval of information later
Please note that Enterprise Vault is different from the Outlook autoarchive feature, which saves mail items to your computer. It is recommended that you turn off the Outlook autoarchive feature. After logging in to the vault, a user can search for and retrieve old messages. For more information on your email vault, please visit the email vaulting web page.

Email encryption

Email encryption is a security measure to encode, or scramble, messages so that only those recipients with the key can unscramble and read the message. ECU faculty and staff are required to encrypt all email messages containing sensitive information if recipients are outside the ECU network. Find out the process from the email encryption page.

IronPort spam filter

IronPort email spam filter screens and quarantines suspicious messages before they reach your inbox. These types of messages include unsolicited spam email that may contain viruses or inappropriate content. Mailbox purge policy

To provide a standard for automatic removal of older mail items, automatic purging is practiced to limit disk space usage and reduce possible data corruption. For more information, visit the ECU Email Purge Policy page.

Mobile setup

Visit the mobile device setup page. A passcode must be configured on the device.

Mobile device wipe

Lost or stolen smartphone or tablet? If ECU email or AirWatch MDM is configured on the device, staff can wipe data from the device through Piratemail or AirWatch. These instructions show you how.

Configure Outlook for your home computer

Department email account

Departments requiring an email account (for example, an inbox for website feedback) should submit the Departmental Email Account Request form in the online IT Help Desk service request system. The form requires an account name, the purpose of the account and the names of the administrator and back-up administrator.

Outlook personal folders

Create personal folders in Outlook, then drag and drop messages to clear out the inbox and organize information. Messages saved in personal folders do not follow ECU's automatic archiving standard, and since they only reside on the user's computer, these items are not accessible through Piratemail.

Recover deleted mail items

Deleted mail items are stored in your deleted folder for 14 days and then automatically moved to the Recover Deleted Items area for 14 more days. These items are then permanently purged on day 15 and are unrecoverable. To retrieve an item from the Recover Deleted Items folder, visit these instructions.


Faculty and staff retirees are allowed to reactivate their ECU email account within six months of their last work day by following the steps below. The account must be used at least once a year. Accounts not reactivated within the six-month period are deleted.

  3. Press Next
  4. Type ECU ID (Banner number)
  5. Answer four user-unique questions
  6. Follow the rest of the prompts to reactivate your account

Alumni email

ECU alumni email is a web-based service provided by Microsoft Office 365. One semester after graduation, a student's ECU email address automatically migrates to the alumni domain. Here's how it works:
  • The email address changes from to
    For example: changes to
  • All messages automatically migrate to the new address
  • Future messages sent to the graduate's student address are automatically forwarded to the alumni address
  • Alumni log in using the PirateID and passphrase they used with their old student address
  • Alumni will not be able to send email from the old student address
  • The new alumni account includes a OneDrive business-class storage folder (1TB)
  • Documents in the OneDrive folder are read only; Web apps are not available
  • The student Office 365 Pro Plus account expires, no MS Office subscription is included with the alumni email account
  • This process is automatic EXCEPT that the mobile account must be reconfigured
  • Graduates receive an email reminder to reconfigure mobile devices to the new address
